Stock Adjustments

The Adjustments module allows you to update inventory records by manually modifying either the quantity or value of items in stock. This is especially useful for reconciling physical counts, processing returns, or recording inventory losses.

Adjustments can be filtered, recorded, previewed, and tracked for audit and compliance.

Searching Adjustments

You can quickly locate past adjustments by using the filters:

ReasonSelect a predefined reason to narrow results (e.g., Stocktake, Damaged).
SearchUse keywords (item name, notes) to filter results.

Creating a New Adjustment

Click + New Adjustment on the top-right of the adjustment list screen. You will be prompted to:

  1. Select the date, warehouse, type, and reason.
  2. Add one or more items with adjustment values.
  3. Optionally add a description.
  4. Save or preview the adjustment before finalizing.

Field Overview

AttributeDescription
DateThe effective date of the stock adjustment. This field is required.
WarehouseSpecifies the warehouse where the adjustment is taking place.
TypeIndicates whether the adjustment is based on Quantity (units) or Value (monetary).
ReasonThe rationale behind the adjustment. Options include Stocktake, Damaged, Returned, Production, Sale Return, and more.
DescriptionOptional notes or comments to clarify the context of the adjustment.
ItemThe product being adjusted. You can add multiple items per adjustment.
Current Stock On HandShows the quantity or value before adjustment.
Adjustment Quantity / ValueThe amount by which the stock is being increased or decreased.
New Stock On HandThe recalculated stock level after applying the adjustment.

Common Adjustment Reasons

  • Stocktake: Reconcile stock based on physical count.
  • Damaged: Remove broken or unusable items.
  • Consumed: Items used in internal operations or production.
  • Sale Return: Add back items returned by customers.
  • Purchase Return: Subtract items returned to the supplier.
  • Production: Adjust stock post-manufacturing.
  • Unpack / Pack: Reflect packaging transformations.
  • Shortfall: Account for missing stock during inventory.

Adjustment Actions

Click on the Actions menu inside any adjustment record to:

  • Preview — Generate a printable PDF.
  • Copy — Clone the adjustment for reuse.
  • Delete — Permanently remove the record.

⚠️ Only users with the correct permissions can delete approved adjustments.
